Project Administrator (Part Time or Full Time)
Future Leap (certified B-Corp), was created to support organisations to accelerate their sustainability journey and progress towards net zero. We do this by showcasing innovative solutions, facilitating future-thinking discussions and collaborating with one another. We aim to be the primary source of sustainability related services and information for commercial clients in the Southwest and beyond.
Future Leap is a Bristol based organisation which offers organisations a number of hands-on services to support their net zero journeys. Additionally, Future Leap runs one of the biggest sustainability business networks in the UK consisting of over 300 members who engage with each other through our online portal and events programme on all areas of sustainability from the very deep green technologies to softer solutions.
The Role:
The Customer Service and Project Administrator is responsible for supporting the delivery and administration of a large skills programme, ensuring excellent customer service and seamless coordination with internal teams, external partners, and learners. This role requires strong attention to detail, exceptional communication skills, and the ability to engage effectively with a wide range of stakeholders. The administrator will focus on identifying opportunities for process improvements and ensuring the smooth execution of project deliverables.
Key Responsibilities:
Learner and Stakeholder Engagement

- Act as the primary point of contact providing prompt, professional, and courteous support to learners, external partners, and the internal teams.

- Facilitate regular communication and engagement with external partners, ensuring alignment with project goals.

- Organise meetings, workshops, and events related to the project, including logistical planning and follow-up.

- Support learners throughout the project, providing them with relevant information and assistance where needed.
Project Administration:

- Oversee the administrative tasks related to the project, including tracking deadlines, managing documentation, data collection, reporting, and project coordination.

- Collaborate with internal teams to ensure that all project milestones are met on time and within budget.

- Set up project systems and processes to ensure smooth delivery of the programme, meeting deadlines, accurate collection of data and a wonderful learner experience.

- Analysis and report on learner engagement, employer engagement and project progress to meet key milestones.

- Responsible for attending internal and external project delivery meetings.
Process Improvement:

- Identify areas for process improvement within the project’s administration and learner engagement then work to implement solutions to improve project outcomes.
Skills and Experience:

- Experience administering large projects, with the ability to manage multiple tasks and deadlines effectively.

- Strong verbal and written communication skills, with the ability to engage confidently with external partners, learners, and internal teams.

- Excellent organisational skills and a meticulous approach to maintaining data, records, reports, and timelines.

- Experience in proactively identifying potential challenges and proposing solutions to improve processes and outcomes.

- A team player who can work across departments and collaborate effectively with diverse groups of stakeholders.

- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint), CRM systems, and project management software.

- Knowledge of data law and data control to enable the preparation of reports, presentations, and documentation to track project progress and outcomes.

- Adaptable and resourceful, with the ability to work in a fast-paced environment.

Hours: Part time 22.5 hours a week. Potential for the hours to increase overtime.
